Objective: 

This article aims to instruct users on how to efficiently and accurately add items. It explains the specific steps to follow in each method, highlighting the available options.


Scope / Limitations: 

The article is intended for Buk administrators who have the minimum permissions required to manage items and add them to employees. It provides a comprehensive and detailed guide on the item adding processes, both individually and in bulk.


Legal Support and Applications: 

The platform is distinguished by its versatility in adapting to various payment methods and management systems used by different companies.  This translates into the ability to create and add items according to the preferences and needs of user administrators. This flexibility allows for extensive customization that can be adjusted both to current legal regulations and to the specific internal policies of each company.


Individual Platform Process: 

From the employee's profile in the "Items" tab, select the type of item you want to add (Earnings, Deductions, or Other). In the same view, you will find a box showing the items already added for the current month. 




Click on "New" to define the new item, confirm the start month, and, if necessary, the corresponding cost center. Finally, press "Save" to complete the adding of the item.




Once completed, the item will be added. If you wish to edit, pause, or remove the item, you can do so from the same "Items" tab. Locate the pause icon to "Suspend" the item for a set period, use the pencil icon to "Edit" the item, and employ the trash can icon to remove or delete the item from the profile.


 

Bulk Platform Process: 

From the "Reports" section, click on "Importers" and then select "Importers." Here, you will find the "Items" importer. Choose the item you want to load or select the option "Load Multiple Types of Bonuses Simultaneously" if you need to load multiple items at once.




Then, define the "Type of Installments", which can be single, without an end date, or with a specific number of installments. Additionally, you will have the option to configure special considerations, such as:



  • Allow loading items in the future: This applies if you want the item to be added for payment over a period of time in the future. 

  • Overwrite Amounts of Already Added Items: This function serves to replace and/or edit the existing data of already added items. If you check this option and set the amount column (of the item) to "0," the items will be removed in bulk.

  • Overwrite Custom Attributes: Values of the Added Items You can update the values of the custom attributes of the addition of items.

  • Recalculate pay stubs/receipts: This option is checked by default so that when the load is complete, the pay stubs are updated to correctly display the information.

  • Accept payees: When checked, this allows the item to be paid to a third party.



Once everything is defined, save the template and upload it to complete the load. If this is successful you will have loaded your items. 


General Considerations: 


In the "Administration" section, access "Items" and choose between "Earnings" or "Deductions." In the item box, select the item you wish to remove, either individually or in bulk. Check the employees from whom you want to remove this item and then, in the "Actions" section, click on "Remove."

 This will terminate these items.



Additionally, you can set your items to include a detail when adding them, which will appear on the employee's pay stub.  For this, you need to have the general configuration of "Enable Description in Added Items." Then, you can go to the employee's profile or the importer in the "Detail" box.

To activate the detail or description of items, go to the general settings and enable the "Enable 
 Description in Added Items" setting.
